1. INTRODUCTION
Innovray (“Innovray”, “we”, “our”, or “us”) provides the Innovray Student App and related school and coaching management services, collectively referred to as the “App” or “Service”.
This Privacy Policy explains how we access, collect, use, store, share, protect, retain, and delete personal information when students, parents, guardians, teachers, staff members, schools, or coaching institutes use our Service.
The school or coaching institute that provides your account determines which educational and administrative records are entered into the App and who is authorised to access those records. Innovray processes this information to provide the Service to the relevant institution and its users.
2. INFORMATION WE COLLECT
Depending on the services enabled by your school or coaching institute, we may collect or process the following information:
2.1 Account and Identity Information
• Student, parent, guardian, teacher, or staff name
• Admission number or General Register (GR) number
• Internal user ID and school code
• Date of birth
• Profile photograph
• Class, section, course, batch, subject, and user role
• Login credentials and authentication information
2.2 Contact and Guardian Information
• Email address
• Phone number
• Residential or correspondence address
• Parent or guardian name and contact information
• Emergency or authorised contact information provided to the institution
2.3 Academic and Educational Information
• Attendance records
• Assignments, homework, and uploaded submissions
• Examinations, marks, grades, and results
• Subjects, lessons, courses, and certificates
• Timetables, academic calendars, and holidays
• Diary entries, notices, announcements, and study materials
• Teacher comments and other institution-maintained educational records
2.4 Communications and Uploaded Content
• Messages and chat content
• Support requests and communications
• Images, documents, assignment files, and other files selected and uploaded by the user
• Notices and attachments sent through the Service
2.5 Administrative Information
• Transportation routes, vehicle, driver, or attendant assignments
• Fee status, payment status, or transaction references
• School or coaching subscription and service information
• Other administrative records enabled by the relevant institution
Innovray does not store complete payment-card numbers, CVV details, or complete bank-account credentials. Where online payments are enabled, sensitive payment credentials are processed by the applicable payment service provider under its own privacy and security practices.
2.6 Device and Technical Information
• IP address
• Browser type and version
• Device type and operating system
• Application version
• Login and activity timestamps
• Session identifiers
• Diagnostic, crash, error, and security logs
• Firebase Cloud Messaging token used for notifications
• Notification permission status
The web application does not access contacts, SMS messages, call history, microphone, or precise device location unless a future feature specifically requires it, permission is clearly requested, and this Privacy Policy is updated accordingly.
3. SOURCES OF INFORMATION
Information processed through the Service may be:
• Provided directly by the user
• Provided by a parent or lawful guardian
• Entered by the school, coaching institute, teacher, or authorised staff member
• Generated automatically when the user accesses or operates the Service
Student accounts are generally created and administered by the relevant school or coaching institute rather than independently created by students.
4. HOW WE USE INFORMATION
We use collected information to:
• Create, authenticate, and manage user accounts
• Provide academic, administrative, communication, and support features
• Display attendance, assignments, examinations, results, timetables, notices, and other authorised records
• Deliver notices, reminders, alerts, and push notifications
• Enable communication between authorised users
• Process user requests and provide technical support
• Protect accounts and prevent fraud, misuse, and unauthorised access
• Monitor, maintain, troubleshoot, and improve the Service
• Maintain backups and service continuity
• Comply with applicable laws and enforce our agreements
We do not sell personal information. We do not use student information for third-party behavioural or targeted advertising.
5. HOW INFORMATION IS SHARED
5.1 School or Coaching Institute
Information may be made available to the relevant school or coaching institute and its authorised administrators, teachers, staff, students, parents, or guardians according to their assigned roles and permissions.
5.2 Service Providers
We may use trusted service providers for hosting, database storage, email delivery, notification delivery, security, backups, and technical support. This may include Google Firebase for push-notification delivery.
Service providers are permitted to process information only to provide their services and are expected to protect the information appropriately.
5.3 Legal and Safety Requirements
We may disclose information when required by applicable law, court order, government authority, or when reasonably necessary to protect users, prevent fraud, investigate security incidents, or protect the rights and safety of Innovray and others.
5.4 Business Transfers
Information may be transferred to a successor organisation in connection with a merger, acquisition, restructuring, or transfer of the Service, subject to appropriate privacy and confidentiality protections.
6. BROWSER STORAGE, COOKIES, AND NOTIFICATIONS
The Service may use browser storage, cookies, and similar technologies to keep users signed in, remember language and application preferences, protect account security, and provide essential functionality.
We do not use these technologies for third-party advertising. Push notifications are optional and may be disabled through the browser, application, or device settings.
7. CHILDREN’S AND STUDENT INFORMATION
The Service may process information relating to children when it is provided or authorised by a school, coaching institute, parent, or lawful guardian.
Children’s information is used only to provide, administer, maintain, and protect the educational Service. We do not knowingly sell children’s personal information or use it for behavioural advertising.
Parents and guardians may contact the relevant institution or Innovray to request access, correction, or deletion of a child’s information, subject to applicable educational and legal record-retention requirements.
8. DATA SECURITY
We use reasonable administrative, technical, and organisational safeguards designed to protect personal information. These safeguards may include:
• Encrypted network connections
• Authentication and credential protection
• Role-based access controls
• Restricted administrative access
• Security monitoring and logging
• Database backups and recovery procedures
• Software maintenance and security updates
No internet transmission or storage system can be guaranteed to be completely secure. Users should keep their credentials confidential and report suspected unauthorised activity immediately.
9. DATA RETENTION
We retain information while an account remains active and for as long as reasonably necessary to:
• Provide the Service
• Meet the institution’s educational and administrative requirements
• Maintain security and backups
• Resolve disputes
• Prevent fraud and misuse
• Comply with legal and regulatory obligations
The relevant school or coaching institute may establish additional retention periods for official educational, academic, attendance, fee, or administrative records.
10. ACCOUNT AND DATA DELETION
A user, parent, or lawful guardian may request deletion of an account and its associated personal information without reinstalling or logging into the App.

The request should include:
• Student or account-holder name
• School or coaching-institute name
• School code
• Admission or GR number
• Registered email address or phone number
Do not include your password.
We may request additional information to verify the requester’s identity and authority, particularly when the account belongs to a child.
After verification and coordination with the responsible institution, we will delete or anonymise personal information associated with the account unless retention is required for legal, security, fraud-prevention, backup, transaction, or legitimate educational-record purposes.
Any retained information will remain protected and will not be used for unrelated purposes.
11. USER RIGHTS AND CHOICES
Subject to applicable law, users may request:
• Access to their personal information
• Correction of inaccurate information
• Deletion of their account and associated information
• Information about how their data is being processed
• Withdrawal from optional notifications
• Review of a privacy concern or complaint
Because official educational records are controlled by the relevant institution, Innovray may coordinate a request with that institution.
12. DATA PROCESSING LOCATIONS
Information may be processed on servers operated by Innovray and its service providers in India or in other countries where those providers operate.
Where required, reasonable safeguards are used for the transfer and processing of personal information.
13. THIRD-PARTY LINKS AND SERVICES
The App may contain links to external websites or services. External services operate according to their own privacy policies.
Innovray is not responsible for the content or privacy practices of unrelated third-party websites.
14. CHANGES TO THIS PRIVACY POLICY
We may update this Privacy Policy when our Service, legal obligations, or data-processing practices change.
The latest version will always be published on this page with an updated effective date.
Material changes may also be communicated through the App, by email, or through the relevant school or coaching institute.
